Introduction

• Carriers subcontracting deliveries to unauthorized or undeclared transport providers.

How to Enable the Feature

1. Go to Administration → Platform → General.
2. Under the General tab, check the "Digital Transport Document" checkbox to activate the module.
3. Under Administration → Platform → General → Mobile Apps, you can configure whether drivers should be blocked from starting a round if data required to generate the document is missing:
   • Enable "Prevent driver from starting the round when Digital Transport Document generation not possible" to block round start when mandatory information is missing.
   • If this option is disabled, drivers will receive a warning but can choose to skip document generation and start the round anyway. The skip action is recorded and visible in round details.

Digital Transport Document template

The following information can be available within the document:

• Name
• Date & time of issue
• Unique document reference number (roundId)
• Sender company information (Name, Address, business registration number)
• Transport company/Carrier details (Name, Address, business registration number)
• Loading Address
• Driver Name (Carrier company)
• Start & End Location of the round
• Truck registration number/License plate
• For each Task:
  • Task ID, Task reference, task type, end-recipient information (name, address )
  • For each item within this taskId, description
  • Dimensions specified by the platform (weight, peso, volume, etc)
  • All item metadata 
• For each product within this task: Name, type, description
• QR Code

How the Document Is Generated

At Round Start

1. The driver opens the mobile app and completes the preparation phase.
2. The driver presses Start Round.
3. The app checks whether all required information is available to generate the document.
   • If information is missing and the platform is configured to prevent round start: the driver sees the message "Some information is missing. Impossible to generate the transport document." and must contact the dispatcher to complete the missing data before proceeding.
   • If information is missing and the platform is not configured to prevent round start: the driver sees the message "Some information is missing. Impossible to generate the transport document. Do you want to skip the generation of the transport document?"
     • Yes → The round starts without a Digital Transport Document. This is recorded in the round details.
     • No → The driver returns to the previous screen and can request the dispatcher to complete the missing information.
4. If all required data is available, the driver is prompted to confirm or enter:
   • Vehicle registration number/license plate
   • Driver name 
5. Once confirmed, the Digital Transport Document is generated and the round starts.

During the Round

• A document icon is displayed at the top of the mobile app screen throughout round execution.
• The driver can tap this icon to view the latest version of the Digital Transport Document at any time.
• The document is updated as tasks are completed or change status, including task completion timestamps.
• If a control authority requests the document, the driver can display it on-screen or allow the officer to scan the QR code to download the PDF directly.

At Round Completion

• When the round is marked as complete, a final version of the Digital Transport Document is automatically generated. This is transparent to the driver.
• The round completion timestamp is recorded in this final version.
• After round completion, the driver no longer has access to the Digital Transport Document via the mobile app.

Document conservation

Limitations

• The Digital Transport Document cannot be used as a Proof of Delivery.
• Driver and recipient signatures are not included (not legally mandatory per the Resolution of 5 June 2026 of the Directorate-General for Road and Rail Transport).
• Only one printing template can be configured per platform for this document type.
• Documents cannot be deleted, modified, or regenerated from the web platform.
• The driver must be connected to the internet when starting the round for the document to be generated.
• The QR code download link expires 7 days after round completion; however, platform managers can still download documents from Round Details for up to 1 year.

Frequently Asked Questions

• Which fields are mandatory in the Digital Transport Document?
  All fields listed in the Digital Transport Document template section are mandatory. In particular, the VAT number for both the sender and the carrier is required — make sure these are filled in on your platform before enabling the feature.
• What happens if the document cannot be generated?
  Depending on your platform configuration, the driver will either be blocked from starting the round or given the option to skip document generation. Any failed generation attempt or skip action is recorded and visible to platform managers in Round Details.
• Can the document be shared with the sender or partner carriers?
  Yes. Platform managers can download the PDF from Round Details and share it manually. In the current version, no automated sharing mechanism is available for senders or partner carriers.
• Can I generate the Digital Transport Document in multiple languages?
  Yes. The template can include translations within the same document. Field labels should be included in all required languages (e.g., "End-recipient / Destinataire / Beneficiario").
• Are previous versions of the document preserved?
  Yes. All versions of the document are retained, each with its own timestamp. Platform managers can view and download any version from the Round Details.
• Is this feature available for all transport types?
  The feature is primarily applicable to truck-based transport. For last-mile deliveries by van (under 3.5t) or parcel services, the requirement may not apply depending on local regulations. Check with your legal team or Customer Success Manager if you are unsure.
